Medical Records Relocation for Cwm Taf University Health Board. Commercial Transfer were awarded the contract in March 2016.

The contract was for a major transfer of approximately 1.4 million confidential medical record files, for Cwm Taf University Health Board. Moving from 15 sites across South Wales, into a new, purpose designed archive building; allowing for easier access and distribution of files, as well as freeing up valuable space within many healthcare facilities.

Our South Wales based Move Manager carried out the initial surveys and worked closely with the customer to formulate detailed plans; before overseeing the process for the duration of the project.

The project involved our team packing the medical records into crates sequentially, so as to keep them all in order. The total number of crates that were packed came to around 22,000, along with approximately 16,000 boxes also containing files. Our team distributed these crates and boxes around the new hangar-like storage facility, often unpacking the files and boxes onto the shelving.

The work was originally planned to take place over an 18 month period, however this was able to be reduced to 12 months. Commercial Transfer worked weekdays and weekends to ensure that there was no interference to the day to day operations of the various hospitals, clinics and health centres involved.

The project was completed on time and on budget.

"Thanks once again to you and your team for all your work in helping us move the records."
